Facility Department IT - Technology Telecommunications Support

 

Facilities Managers are constantly facing issues that need immediate attention.  Today with reductions in staff and personnel, they are facing new challenges with limited resources and tight budgets.  When the CFO tells them they are planning a relocation too a new facility, obviously they must consider how they can manage this and handle all f the day to day task.  Even the most experienced firms look to business and Technology Relocation consultants.  One of the most challenging issues facing the Facilities departments is a shortage of expertise in the Information Technology area of the Facility, and now they are calling upon IT Infrastructure Design Consultants and Engineers to answer many of the Technical questions.  We provide you with the technical expertise in the design and relocation planning for your technology equipments and services.  With the clear understanding of the value that technology can provide to productivity and long term cost savings when properly deployed, it is important that you bring the design into the original building plans rather than continually upgrading Facilities just to meet Technology requirements.

 

Since the cost of fully prepared Technology spaces on a per sq ft basis is so expensive, we are frequently asked to help minimize or justify the space which IT actually requires is in line with business plans and growth projections.  We work with your IT organization and your CFO or Corporate planning group to identify growth plans and then identify the best compromise between facilities and IT to assure that space requirements are realistic, will meet corporate needs for one to five year plan and optimize the utilization of the available space, saving the company thousands of dollars in under-utilized space, power and HVAC cost.

We provide Facilities with experienced Technical resources which are focused on their needs.  We work with IT all along the way to make sure that we understand their business model, and can develop appropriate IT Infrastructure and Project Management plan to keep them on track and ready for the relocation to the new site.  Everybody WINS!  Facilities gets a focused IT resource & IT gets their design and Facilities requirements built into the plans early, and end up with a significantly improved IT environment with appropriate space, power and HVAC and environmental requirements without ongoing changes to the Facilities.

 

What many people forget is that when a company is moving one to two years out, they may choose to upgrade the Telephone systems, to replace many of the old servers, that the network gear will not provide for Gigabit services to improve end user productivity, that network security demands are becoming much more critical to the organization and that new firewalls and security measure should be planned as part of the relocation.  Will you need redundant network switches to insure user connectivity, will this require new equipment and additional network consultants to install and set up these services.  We look at the overall picture and work with your staff on planning optimal solutions.

 

Power & environmental requirements have to be addressed for each of the Technology spaces.  How many 20 Amp circuits for each of our racks, what happens if we install new servers, not just the cost of the servers, but power requirements may be much different? With Compaq's new servers they say you can install 40 of the new 1U servers in a single rack, which will certainly require significant additional power and cooling to each rack.

 

How much cooling do we need and how do we provide adequate air flow for the technology areas?  What about physical security and access to these rooms and all locations where service enters the Facility.  What about battery backup power and maybe a generator?  What about the cost of Fiber Entrance Facilities for high speed network connections, etc. etc. etc?  Have all of these items been added to the plan?  Whose budget do they fit into - Construction or Facilities? 

 

Unless someone in the company is familiar with what it takes to relocate to a new Facility, original budget numbers from IT frequently provide only a glimpse of what it will actually cost.  Often, someone in IT will be tasked to put together a quick budget which usually covers only a small part of all the requirements, and is only a fraction of what will turn out to be the actual cost for relocation of IT services.  Often corporate plans and expectations change from initial concept as the building design plans are completed and the construction phase gets underway.  By the time we are ready to finish the new campus or building many new requirements may exist which had not been included in the initial plans or budgets. 

 

Another thing which frequently occurs as the move date approaches, is for IT to have to redo their budget to capture the revised requirements and cost, but since these costs were not in the original budget, how do we get funds for the critical resources that will make the company much more efficient in the new location.  This is often how an original budget of $125,000 becomes $875,000 and Facilities is asked to bring everything in on budget.  We work with Facilities and IT departments up front to identify and document what services are part of the initial build-out.  Even with the best of planning it is not unusual to find some systems that need to be replaced or updated for the new site, we always recommend a contingency fund for these issues as part of good planning process.

 

Finance and Facilities should review the budget and analysis of technology readiness of new site, basedFacilities departments have long been faced with a shortage of expertise in the Information Technology area of the Facility, and now they are calling upon IT Infrastructure Design Consultants and Engineers upon its functional benefits over time, and the cost savings and advantages of critical technology infrastructure being deployed up front and utilized over the life expectancy of the lease or building life expectancy.  Strategic Planning and design of your technology infrastructure will help you avoid the costly mistakes that result when resources are asked to manage in an area for which their expertise is limited.

Our most successful projects find us reporting to the Facilities Department as part of the Construction team.  You might ask why Facilities and not IT? 

 

What we have observed is that the requirements facing the Facilities department during a Relocation Project are very different than most day to day activities.  Just like building a new house, the architect and contractor need you to make critical decisions and supply them with information almost immediately to keep the project on schedule and eliminate costly changes from lost time or delays in materials, a corporate site has even more time sensitive needs for immediate response to keep things on track and avoid cost overruns.  We provide the focused onsite support necessary to respond to these time sensitive demands which internal resources may not have the bandwidth to respond to promptly.

 

Experience has shown us that it is common for Facilities to have the answer to most questions regarding the property, but they donít have expertise or readily available IT resources to call on for immediate answers to the hundreds of technical questions that come up during the construction and relocation planning for a project.  IT would like to help, but due to todayís limited staff resources, such planning can take a significant part of their bandwidth, and normally the staff is working overtime just to keep the network purring.  Given the option of spending time on answering questions about future needs, or fixing the network problem that could shut down accounting or operations, or updating network security orÖ  guess where the focus is placed. 

 

 

A relatively new area, Technology Construction Management (TCM) is a practice that marries Facilities and building components with technology infrastructure.  Today more and more IT Infrastructure Design Consultants & Engineers are being added to the construction teams as part of the design & build process.  For TCM to work, we need to get involved in the design-build process, as early as possible. Leading technology companies are finding that they need to get the IT Infrastructure Design Consultants & Project Managers in as a consultant to the Facilities Project Manager or as one of the other subs under the general contractor.
